Position Summary

The Bookkeeper/Office Coordinator is responsible for supporting daily business operations and administration with a special emphasis on bookkeeping. This role collaborates with SSCC staff and teachers, as well as vendors, and community members. 

This role keeps the physical space running smoothly by carrying out a range of administrative, operational, and financial tasks. They coordinate day-to-day front-desk operations of SSCC, track receipts, purchases, and facility repairs, and ensure that office procedures and systems function well.  They also serve as a resource to all staff regarding administrative questions.  

Essential Duties & Responsibilities

  • Bookkeeping: 

    • Oversee invoicing of preschool tuition 

    • Pay Vendors / Negotiate vendor contracts to identify cost-saving opportunities

    • Administer employee reimbursements

    • Reconcile credit card and bank statements (daily and monthly)

  • Tech/Systems: 

    • Assist with management of social media accounts and website updates

    • Support improvements to business operations

    • Provide basic tech support when issues arise

    • Assemble reports, presentations, and data as needed for meetings

  • HR/Payroll:

    • Collect timesheets from staff and review for accuracy. Support payroll process in partnership with Operations Manager and Preschool Director

    • Support hiring, onboarding and offboarding of employees

  • Reception & Facilities:

    • Answer door

    • Coordinate orders and manage deliveries of materials

    • Organize the front office, library, storage areas, closets, and other common spaces

    • Coordinate repairs for 20 Woodside and 511 Laguna Honda 

  • Other:

    • Support the planning of SSCC events and fundraisers 

    • Help with tracking requirements for licensing 

    • Participate in regular professional development and networking opportunities

    • Other duties as assigned

Job Requirements and Qualifications:

Required: 

  • Knowledge of best practices in operations, small business and/or non-profit bookkeeping 

  • Previous experience with facilities and office management

  • Understanding of bookkeeping standards, program and organizational budgets required

  • Great analytical, critical thinking and problem-solving abilities

  • Knowledge of Quickbooks Online, Google Suite, Microsoft Word and Excel required

  • Must be able to use the internet for research and information gathering

  • Demonstrates cooperation, respect, empathy, proactive and clear communication, and positively contributes to team morale 

  • Fluency in oral and written English required, 

  • Strong written and oral communication skills, including the ability to interface with community members and vendors

  • Strong interpersonal and listening skills required, with sensitivity and appreciation for diverse viewpoints and various communication styles

  • Ability to handle sensitive information with a high degree of confidentiality

  • Must be able to use a computer for extended periods of time 

  • Must be able to lift up to 50 pounds and work onsite at SSCC

  • Occasional weekend or evening work may be required to support events and projects 

Preferred: 

  • Previous experience in a school or educational setting 

  • We value a variety of life and work experiences. 

  • Experience living and working in other countries/cultures is a plus

  • Knowledge of a Nordic language is a plus

The Scandinavian School & Cultural Center (SSCC) provides opportunities for lifelong learning. We offer a full-time Scandinavian language immersion preschool, language classes for children and adults, and other community programs that celebrate Nordic culture, language, and values. 

Today SSCC provides 20+ cultural events and more than 50 language classes each year for both children and adults, serving Bay Area residents at three locations: San Francisco, Menlo Park, and Marin. The School’s full-time preschool language and cultural immersion program continues to thrive at its San Francisco location.
